Jobin.cloud is flexible, so there is no single mandatory workflow. However, this is the workflow we recommend:

Before starting outreach, create a Job Pipeline. Pipelines can include an ideal candidate filter to automatically score contacts, and anyone you import into a pipeline will land in the assigned stage first.

This gives you a screening step before outreach, which is helpful because sourcing can happen at scale and not every imported contact will be a good fit.

If you added an ideal candidate profile to a Job, contacts will receive a fitting score whenever that Job pipeline is selected in your filters. If not, you can still use regular filters or templates to rank and shortlist contacts.

This helps automate the selection process instead of forcing you to review every profile one by one.

From there, the contacts you choose can either move forward inside your pipeline or be added directly to a Sequence. Sequences can include both outreach steps and assign steps that move prospects into a chosen pipeline stage.

Light blue = optional. This is the default mode. At least one optional keyword must match. If there is only one optional keyword, it behaves like a must-have. If there are multiple, it behaves more like an OR group.

Optional keywords are rankable: the more optional keywords a contact matches, the higher they score. You can also customize the score multiplier of each optional keyword by clicking it.

Higher-scoring contacts appear nearer the top of your results.

If the filter is used inside an Ideal Candidate setup, you can also see each contact’s score and set a minimum score threshold to shortlist results more easily.

If you open the All Filters menu, you can manually adjust the minimum keyword threshold by clicking the Set manually option shown below optional keywords.

If the contact replies before the follow-up is due, that automated follow-up will not send.

Why are connection invitations failing?

If a connection invitation fails, the most common reasons are:

The person is already a pending invitation
The person is already a 1st-degree connection
You withdrew an invitation to them within the last 21 days
The LinkedIn account no longer exists or has an invalid URL
Smart fields are missing required data (for example, your note includes {{company}} but the contact has no company data)
The LinkedIn URL is missing (Sales Navigator imports need the full profile import to finish first)
The invitation note is too long for the LinkedIn account type you are using

Character limits:

Free LinkedIn: up to 200 characters, and only a limited number of note-based invitations per month
Premium / other paid LinkedIn subscriptions: up to 300 characters

Why don’t my sent emails appear in Jobin or in my Sent folder?

Jobin can send emails through your SMTP connection and read replies through IMAP, but it does not control how your email provider stores sent messages.

If your provider does not automatically save SMTP-sent emails into your Sent folder or inbox, Jobin cannot force that behavior.

In those cases, the issue is usually related to your email provider’s configuration rather than Jobin’s sending process.

Can I use CC or BCC with Jobin emails?

How do I edit a Sequence?

You can edit any Sequence or campaign structure by opening the Sequences page and clicking the gray + icons inside the flow chart.

You can edit the content of a Sequence step at any time, but you cannot freely add or remove steps from the structure while the Sequence still has active prospects assigned to it.

You can still add new steps at the bottom, but once added, they cannot be removed while prospects are actively running through that Sequence.

If the Sequence already has assigned prospects, the recommended options are:

Duplicate the Sequence and make your changes on the copy
Use the Edit button, which will prompt you to remove all active prospects from that Sequence first

Why wasn’t a contact added again to the same Sequence?

Accepted Answer

Jobin has a safety feature that prevents the same contact from being added to the same Sequence again within roughly one week.

If the exact same outreach message is being reused during that period, Jobin may also block it.

If you really need to rerun the outreach immediately, the usual workaround is to duplicate the Sequence and make a small change to the message content.

Why are actions already sending even though the contact does not seem to be in the Sequence yet?

Accepted Answer

Sequences can start processing immediately, while the visual status on the contact or Sequence page may update a little later.

If a contact does not appear inside the Sequence yet, try refreshing the page or reopening the Sequence tab inside that contact.

Also note that the prospects counter usually shows only contacts who are still actively inside the Sequence. Once they finish or exit the Sequence, they no longer appear there.

How do Sequences handle replies and follow-ups?

Jobin adds the next upcoming Sequence step for each contact to the Op. Queue, even if that step is scheduled for a future date.

For example, if a contact receives the first email today and the second email is due in two days, that next step may already appear in the queue.

If a reply is detected and the reply is related to the Sequence, Jobin will normally remove that contact from the Sequence and also remove any scheduled operations for that Sequence from the queue.

This behavior can be adjusted in the Sequence’s AI Reply Identification settings if needed.

How do I find contacts whose Sequence steps failed, were cancelled, or got no response?

Head over to the Op. Queue then open Manage Operations at the top-right to review Sequence activity.

This is the best place to troubleshoot contacts who did not progress as expected.

How do I manage senders in a Sequence?

The Manage Senders option in a Sequence lets you define which LinkedIn account, email address, or phone number should be used for that Sequence’s steps.

You will only be asked to define the sender types that the Sequence actually needs. For example, if the Sequence only sends emails, you only need to define email senders.

You can also add multiple senders to the same Sequence.

When multiple senders are added, Jobin automatically distributes the workload across them.

For example, if a Sequence has two senders and you assign ten contacts, Jobin will typically assign five contacts to each sender so both can run at the same time.

You can move candidates into these exit stages in several ways:

Individually: open the contact, switch to the Job Application tab, click the stage icon, then choose either the unsuccessful exit button or the successful exit button next to Set Stage.
In bulk: select the contacts in the Contacts page, click Assign to Job, and then choose either the unsuccessful or successful exit option.
From Kanban: open the Kanban view from the top-right of the Contacts page and drag the contact to the left end for unsuccessful or the right end for successful.

The unsuccessful exit icon is a pipeline with an outward arrow.

If you want to completely remove a candidate from a Job instead of just moving them to an exit stage:

When you import contacts at scale, duplicates are almost unavoidable. Jobin includes an automatic de-duplication and database cleanup system to handle this.

Cleanup runs automatically in the background, but you can also run it manually using the button at the top-left of the Contacts page.

If any fields contain conflicting values, Jobin will ask you to confirm the merge so your data stays safe.

Jobin’s full database cleanup does more than remove duplicates: it also helps merge and normalize profile data. Combined with CSV import, it can be used to clean older databases and then refresh them with Auto-Update.

The most common LinkedIn restriction is profile views.

Imports performed by Jobin.cloud can avoid LinkedIn profile-view limits, but you should avoid manually opening profiles directly on LinkedIn when possible.

For bulk imports, simply use the Jobin extension. If you want to import an individual profile without opening it directly on LinkedIn, follow these steps:

Right-click the desired profile (without opening it)
Click "Copy link address"
Create a "Custom Profile" in Jobin (open any contact and click the + icon at the top-left)
Paste the link into the profile's website field (move your mouse below the avatar for it to appear)
Run "Auto-Update" on that profile (click the blue "updated on" bar)

This tells Jobin to import the profile without you directly opening and viewing it on LinkedIn.

An action that can count toward LinkedIn's profile-view limits is importing information from the Contact info section.

The default limit is 150/day, and it can be adjusted from the Throttles Dashboard. If you use a free LinkedIn account and hit that limit, avoid manually viewing extra profiles on LinkedIn that same day.

Connection requests and messaging

Since connection-request limits vary, Jobin includes built-in safety throttling and will automatically reschedule invitations when needed, so you do not need to manually micromanage a daily invite limit.

Jobin also throttles messaging activity to help prevent automated follow-ups from exceeding safer limits. You can customize how many messages to send within 24 hours, but we generally recommend staying below 200/day unless your LinkedIn subscription clearly allows for more.

What’s the difference between Auto-Update Profiles, Update + Contact Info, and Enrich (email/phone/+)?

Auto-Update Profiles imports the full LinkedIn profile for a contact and refreshes it with the latest data available on LinkedIn.

This is ideal for keeping contacts up to date and for enriching CSV-imported contacts, as long as your CSV includes a LinkedIn profile link.

Usage: Unlimited. You can run it anytime, as often as you like.

Update + Contact Info does everything Auto-Update Profiles does, plus it imports additional fields from LinkedIn’s Contact info section.

Because LinkedIn may track this as a profile view, Jobin applies safety throttling to help keep you within safe limits.

Aside from the daily limit, you can run this whenever you want. In most cases, it works best on 1st-degree connections, since they are more likely to expose useful data in the Contact info section.

Enrich (email/phone/+) is Jobin’s enrichment service. It searches the web for emails, phone numbers, and other profile or social links.

This does not interact with LinkedIn, so there are no LinkedIn-based limits. The only limit is your available enrichment credits.

How does Jobin SMS work, and how do I set it up?

Jobin SMS lets you purchase a dedicated US virtual phone number that can send messages on demand or automatically through a Sequence.

Setup steps

Go to the Throttles Dashboard.

This registration is required for carrier approval and helps ensure that your messages are delivered properly instead of being filtered as spam.

Once approved, you can start sending SMS immediately, either manually or through Sequences.

Can I manage and automate multiple LinkedIn accounts in Jobin.cloud?

Accepted Answer

Yes. There are two main approaches:

Use a single Jobin account
- Pros: only requires one seat and can connect to multiple LinkedIn accounts.
- Cons: only one LinkedIn account can stay synchronized at a time. Outreach, message sync, and connection-level sync will only run through the LinkedIn account that is currently synchronized.
Use multiple Jobin accounts
- Pros: each Jobin account can stay synchronized to its own LinkedIn account, so operations can run simultaneously. All Jobin accounts can still be invited into the same shared WorkGroup.
- Cons: each Jobin account needs its own LinkedIn Automation seat, and each browser/device/Chrome profile must stay logged into its matching Jobin and LinkedIn account.

Whichever setup you choose, if you press Share on a connected LinkedIn account in the Accounts and Operation Throttles page, different Jobin accounts can run operations or Sequences on one another’s behalf.

Will signing out or switching LinkedIn accounts disrupt my Jobin operations?

Accepted Answer

Yes, unless a specific LinkedIn sender account has been set for the operation. By default, Jobin runs LinkedIn actions through the LinkedIn account that is currently signed in, so switching accounts can interrupt ongoing work.

The easiest way to avoid this is to use a different browser or a different Chrome profile for each LinkedIn + Jobin account pair.

This lets you keep multiple LinkedIn and Jobin accounts logged in at the same time without them interfering with one another.

Since both Jobin and LinkedIn are web-based, each browser or Chrome profile effectively behaves like a separate computer.

Why are my LinkedIn operations stuck or frozen?

If your LinkedIn operations are stuck in the queue, the most common reason is that your Jobin extension has de-synchronized from LinkedIn.

Try refreshing all open LinkedIn and Jobin.cloud tabs, or close and reopen your browser.

Also make sure you do not have multiple browsers, devices, or sessions connected to the same LinkedIn account at the same time, since this can interfere with synchronization.

A quick way to confirm the extension is working is to open a LinkedIn profile that is not already in your database and click the Jobin extension. If the profile imports successfully, your LinkedIn-related operations should normally resume within a few minutes.

This is usually better than automatically pushing every imported contact straight into a Sequence.

My imported contacts aren’t fully downloaded

Accepted Answer

When running bulk imports, contacts are not imported with their full profile immediately. These incomplete contacts are usually marked with a mini-profile label.

The full-profile download starts automatically in the background and can be monitored from the Op. Queue.

Bulk imports happen in two phases so you can start working sooner:

The first phase imports only basic information. This is fast and lets you start tagging, filtering, or messaging earlier.
The second phase downloads the full profile details from LinkedIn. This can take longer, but you can monitor progress from the Ops. Queue.

If there is a specific contact you want to fully import right away, open that contact and click the blue banner under the name that says (Not Fully Downloaded).

How do I import a CSV file into my WorkGroup?

You can import CSV files here (click the silhouette with a + at the top-left of the Contacts page).

Tip: To refresh an old database faster, import only the LinkedIn URL plus any notes, tags, or custom fields you already have, then run Auto-Update on those contacts afterward. Jobin will then pull fresh LinkedIn data directly into their profiles.

Alternatively, here is how the import screen works:

Columns from your CSV are listed on the left together with sample values from the first row of your file.

If Jobin recognizes the file structure, it will auto-match fields for you and you can click Start Import immediately. If not, you can match fields manually.

Manual field matching is simple and only needs to be done once per file structure:

Select a field on the left (it turns red)
Choose the matching Jobin field on the right
Use the green navigation buttons or Search to move between field groups
Once a field is matched, it disappears from the left side

If you click a Jobin field on the right without selecting a CSV field first, you can manually add a value that will be applied to every imported contact. This is especially useful for tags.

Jobin fields on the right fall into five main categories:

Standard — accepts only one imported CSV field
Plural — accepts multiple imported CSV fields
List — accepts multiple imported CSV fields, but commas separate values unless they are inside quotes
Number only — accepts only numeric values
Date — accepts only supported numeric date formats using / or - separators

If a field does not match the required format, that value will not be imported.

You can click the tooltip next to a field to check which category it belongs to.

Also note that fields marked with (current) represent the profile’s main job. There can only be one current job. Older jobs should be imported into the Past Work Experiences group.

If you are on a yearly plan or longer, Jobin can also import your CSV for you for free.
